Reliable AI WhatsApp assistant: Wably's safeguards against errors for your practice

In short: handing your WhatsApp over to artificial intelligence raises very specific questions. What if it books a time that is already taken? What if it gives a wrong answer? What if it writes while I am writing? What if it runs up my Meta bill? Wably is built to handle each of these cases. On this page you will find what it does, situation by situation.

When everything runs smoothly, many assistants look the same. The difference shows in the difficult cases: the time slot taken a minute earlier, the question nobody has an answer to, the client who sends ten messages in a row, another company's auto-responder replying to yours.

It only offers times that are really free

The assistant does not keep a calendar of its own. It reads your busy times directly from your Google Calendar, every time a client asks for availability.

  • It checks again before confirming. A moment before booking or moving an appointment, it looks at the calendar again. If that time has been taken in the meantime, by you or by another client, it does not confirm it and tells the client.
  • When in doubt, it does not offer. If the calendar gives an unclear answer, the assistant would rather not offer that time than risk a double booking.
  • Blocked days stay blocked. An all-day event, such as a holiday or a conference, closes the whole day.
  • Moving does not change the length. When a client moves an appointment, the new time has the same length as the old one.
  • It follows what you do by hand, too. If you move or cancel an appointment directly in the calendar, Wably notices within half an hour and updates the reminder. Reminders are never sent before 7 in the morning.

How the calendar connection works is explained on the page about syncing appointments with Google Calendar. Why the times are calculated by the system and not by the artificial intelligence is explained in the article AI appointment assistant: how we avoid errors.

It never touches an appointment without confirmation

  • It always asks for the client's yes. Before booking, moving or cancelling, it asks the client to confirm.
  • It only confirms what is in the calendar. The client receives the confirmation when the appointment is really in your calendar. If something does not go through, it tells them.
  • Everyone sees only their own appointments. A client can view, move or cancel only their own. They cannot see or change anyone else's, not even by mistake.

It does not make up answers

The assistant answers only with the information you write in Info & services: services, prices, frequently asked questions and practical details.

  • If a piece of information is missing, it says so. It explains to the client that it does not have that detail and that you will read the chat personally. Then it asks whether it can help with anything else. You will find an example in when the assistant can't answer a client.
  • No health advice. It gives no medical assessments or advice. If a client describes an urgent situation, it tells them to contact a doctor or call 112.
  • Every reply is checked before it goes out. If the artificial intelligence produces technical text instead of a normal sentence, that text is not sent and the assistant tries again. The client never sees it.
  • It always says who it is. It introduces itself as a virtual assistant in the first message, after a long pause and when it takes over again after you have stepped in. The client always knows who they are talking to.

When you write, it steps aside

You can reply to a client at any time, from the WhatsApp Business app, as you always do.

  • It stops on its own. As soon as you write to a client, the assistant stops replying to them for 6 hours. Each new message from you restarts the 6 hours. It keeps working with all your other clients.
  • It never talks over you. If it was preparing a reply at the very moment you were writing, that reply is not sent.
  • It respects what you said. When it starts replying again, it also reads what you wrote to the client, without changing it.
  • You switch it off with a message. Write /bot off in a client's chat to switch it off for that client only, /bot on to switch it back on.
  • It makes room for clients who want to write to you. If a client thanks you or asks to speak with you, the assistant offers to pause the automatic replies until 10 minutes after their last message. The pause only starts if the client accepts.

All the details are in the guide on how to reply to clients manually.

It only answers the people you choose

Wably works on the WhatsApp number you already use, the same one you use to write to friends and family. That is why you decide who it may answer.

  • Imported contacts start out disabled. When you import your address book, the assistant does not reply to any of those contacts until you enable them.
  • People writing for the first time get a reply. An unknown number is almost always a new client, and that is the conversation you do not want to lose.
  • A switch for each contact and one for the whole practice. You find them in the dashboard and use them whenever you like.

How the address book works is explained in contacts: who the assistant answers.

A reliable AI WhatsApp assistant knows when to stop

WhatsApp is an open channel: anyone can write to you, in any way. The assistant is prepared for unusual cases too.

  • Many messages in a row, a single reply. If a client writes their request in five short messages, the assistant waits a few seconds and replies once to all of it.
  • No duplicate replies. If WhatsApp delivers the same message twice, the assistant replies once.
  • No endless back and forth between auto-responders. If there is another company's auto-responder on the other side, the two systems could reply to each other forever. Wably recognises the loop and stops.
  • Anyone who overdoes it is stopped. Anyone who sends too many messages in a short time is paused for a while, and if they keep going the pause gets longer. They receive a single courtesy message telling them the conversation is being passed to you.

Your Meta spend stays under your control

WhatsApp messages are charged by Meta directly to your account, they do not go through us. That is why Wably gives you a safety limit.

  • You choose the daily cap. From the dashboard you set how many messages a day the assistant may send, choosing from four levels.
  • If it reaches the cap, it stops and alerts you. The assistant pauses until midnight and within a few minutes you receive an email with the most active numbers of the day, so you understand straight away what happened.
  • It restarts when you decide. If it was just a very busy day, you raise the limit from the dashboard and the assistant resumes immediately. Otherwise it restarts by itself the next day.

All the settings are on the page about tone of voice and control of the assistant.

Your clients' data

Reliability is also about data. Wably does not store health data, runs on infrastructure in Europe, and conversations are not used to train artificial intelligence models. The details are on the page on security, privacy and GDPR.

Six questions to put any assistant to the test

Before choosing an AI assistant for WhatsApp, ask these questions of anyone you are considering. You have read Wably's answers on this page.

  • If a time is taken while the client is choosing, what happens?
  • If the AI does not know an answer, what does it write to the client?
  • When I reply, does the assistant stop? And what if it was already writing?
  • Can I stop it from replying to friends and family on my number?
  • If there is another auto-responder on the other side, what happens?
  • Is there a limit on message spend? Who alerts me if it kicks in?

They are simple, verifiable questions. More point-by-point differences are in the comparison between Wably and WhatsApp chatbots.
