Google Calendar sync: your calendar stays the single source of truth¶
In short: your secretary works on your calendar, not on a separate one. Wably writes appointments directly into your Google Calendar and keeps it always aligned with reality, in both directions.
Why there is no Wably calendar¶
It is the difference that matters most and it is worth explaining right away.
Many booking tools keep an internal calendar and then export it to yours. It looks like the same thing, but it is not: as soon as something changes on one side, the two calendars start to diverge, and from that moment you have to check both.
Wably has no calendar of its own. It reads and writes directly in your Google Calendar, which remains the single source of truth. There are not two copies to keep aligned, because there is only one copy.
Always up to date, both ways¶
The sync is two-way.
From Wably to the calendar. The assistant writes new appointments, updates rescheduled ones and removes cancelled ones, the moment the conversation ends.
From the calendar to Wably. If you create, move or cancel an event by hand, the assistant notices and takes it into account in later conversations.
This means Wably is always aware of your changes: if a client asks about their appointment they get up-to-date details, and the slots it offers always reflect your real availability, not a snapshot hours old.
It works for the appointments you add yourself too¶
An appointment you write by hand, or one that comes from your online booking page, can get the automatic reminder like all the others: the event notes just have to hold the client's phone number.
It is how appointments taken over the phone, or in person at the end of a session, still enter the automated flow. See what to write in the event.
If you have more than one calendar¶
Many professionals keep separate calendars, for instance a personal one and a practice one, or one per location.
When you connect it, you choose which calendar Wably should use. The assistant works only on that one: the others stay outside its scope, they are not read and they are not modified. You can change the choice later from the Integrations section of the dashboard.
What Wably sees of your calendar¶
It is a legitimate question, especially for anyone working in healthcare, and it deserves a clear answer.
Wably needs to know when you are busy, so as not to offer slots that are already taken. It therefore reads the events in the calendar you connected: start time, end time and the details needed to handle the appointment.
What the product does not do is just as important: it does not collect clinical records, does not store diagnoses and does not keep session notes. The scope of the data handled is deliberately limited to what is needed to run a calendar. The full detail is on the security, privacy and GDPR page.
If an event in your calendar contains information you would rather keep out, the simplest solution is to connect a calendar dedicated to appointments to Wably and keep the rest on another one.
You can disconnect it whenever you want¶
The connection is not permanent. From the Integrations section of the dashboard you can disconnect Google Calendar at any time: the appointments already there stay in your calendar, because they are yours and they have always been there.
One calendar, no double-checking¶
You keep using the calendar you already know, on your phone and on your computer, with the same notifications as always. No new tools to learn, no two places to check.
It is also why there are no double bookings: the assistant sees exactly what you see, including the appointment you wrote down by hand thirty seconds ago. How it works in detail is in appointment management on WhatsApp.
To connect it, see the Google Calendar guide.
