Contact management and address book: your clients safe and tidy

In short: a good secretary knows your clients and keeps the address book tidy, without ever losing a contact. Wably imports your address book, recognises who writes to you and adds new clients on its own, with the utmost safety.

Safe import from your Google address book

You connect Google Contacts once and Wably imports and syncs your contacts into its own protected storage, so it immediately recognises the clients you already know.

The connection is made only once, during guided activation, and requires no file exports, no spreadsheets to upload and no data typed in by hand. The full guide is in connecting and importing contacts.

Super Safe

Wably never deletes a contact from your Google address book. It can read and add, never remove. Your contacts are 100% safe and stay intact.

Why recognition changes the conversation

Knowing who is writing is not a technical detail: it changes how the assistant behaves.

A contact the assistant recognises is treated as the client they are, with the history of their appointments available. A number never seen before is treated as a new person instead, to be welcomed and guided all the way to a booking.

They are two different conversations, and the difference between them depends entirely on the address book.

It recognises and creates new clients

When a new client writes and books for the first time, Wably creates the contact automatically, so you never lose a name. No more names scribbled on loose notes that disappear by the evening.

This is the part that, month after month, builds a client archive without you having to spend a minute on it. Every person who has booked stays on record, with their number and their appointments.

Automatic addition to Google Contacts

From the Home you can turn on a switch that automatically adds new contacts, created when a client books, to your Google address book too.

It is always your choice: turn it on only if you want to. Anyone who prefers to keep their personal address book separate from work contacts can leave it off, and clients are still recorded inside Wably.

What Wably keeps from your address book

It is a question worth asking, especially if your address book holds your patients' contacts.

Wably keeps the information needed to recognise a person and manage their appointments: name, phone number, email where available and the booking history.

It does not collect or keep clinical information, diagnoses or session notes, because it does not do so anywhere in the product. The perimeter of the data processed and the protection measures are described on the security, privacy and GDPR page.

The connection with Google Contacts can be broken at any time from the Integrations section of the dashboard, and your Google address book stays exactly as you left it.

Who gets to talk to the assistant

Having contacts in the address book also lets you decide, client by client, whether the assistant may answer them or not.

How the two switches work, the general one and the per-contact one, along with the rule on unknown numbers, is explained in customization and control of the AI assistant.
