Automatic review request: more reviews, without asking out loud¶
Positive reviews are among the things that grow a practice the most. Asking for them, though, is awkward: at the end of a session it is not the moment, the next day you forget, and in the end the only reviews you get are from the people who took the step on their own.
Wably does it for you, automatically, the day after the appointment. Or whenever you decide.
Why reviews matter more than they seem to¶
Someone looking for a physiotherapist or an osteopath in their area opens Google, looks at the first results and reads the reviews before they even reach the website.
The number and the quality of your reviews influence two things at once: how high you appear in local results and how many people choose you among those who have seen you. It is the only marketing lever that works on visibility and on trust at the same time.
The problem is not that satisfied clients do not want to review you: it is that nobody asks them at the right moment.
How the automatic request works¶
After the appointment, at the moment you have chosen, Wably sends the client a message with the link to your reviews page. You set the link yourself: your Google profile, or any other page where you want to collect opinions.
The message is not an anonymous form. It is written the way you would write it:
- It carries your practice name as the sender, not Wably's.
- The reply comes to you. If the client answers the email instead of clicking, their reply arrives directly at your address. On WhatsApp the assistant answers, as always.
- It follows the tone you have chosen, formal or friendly, consistent with the rest of your practice's communications.
- It speaks the client's language, among Italian, Spanish, English and French.
The text thanks them for the appointment, explains that their opinion helps whoever is looking for someone they can trust, and offers the link. No pressure, no insistence, no sales language.
Email, WhatsApp, or both¶
You choose the channel from the Home of the dashboard, and there are three options.
- Email: the default choice. It arrives with your business name as the sender and costs nothing extra. It only reaches the clients who have left you an address.
- WhatsApp: it arrives on the same number the client booked from. It also reaches everyone who has never left an email, which is most of the people who book on WhatsApp.
- Email + WhatsApp: email when you have it, WhatsApp in every other case. It is the setting that reaches the most clients.
The cost is worth stating plainly. WhatsApp messages are billed by Meta to your business account, like every other message the assistant sends. Meta puts the review request in the Marketing message category, which costs more than an appointment reminder. In the dashboard you find the current rate for your country next to the channel choice, before you turn anything on. Email has no cost.
Once only, never pushy¶
This is the point worth being clear about, because it is what separates a review request from spam.
Wably keeps track of who has already received the request and does not send it a second time. That count covers both channels together: a client who has already had the request by email will not find it again on WhatsApp, not even if you switch channel later on.
There are no follow-ups, no reminders to people who did not answer and no attempt to press anyone who let it go. A client who does not leave a review is not contacted again.
It is a choice that protects the most important thing you have, which is the relationship with the person in your care.
You decide when the request goes out¶
You choose how long after the end of the appointment the request goes out: 3 hours, 1 day, 2 days or 3 days.
The default is 1 day, and it is the one we recommend. Straight after the appointment the person is on their way out, putting their day back in order, and in many cases has not yet worked out whether the treatment worked. A request at that moment lands on top of them.
The day after, the picture is different: the effect of the session has shown itself, the memory is still sharp, and the request arrives at a quiet moment. That is when a review gets written willingly, and gets written better.
If you would rather ask while the visit is still warm, the 3 hours option is there.
Nothing ever goes out at night: the sending window runs from 8:00 to 21:00, in your business's local time. If the calculated moment falls outside that window, the request goes out the following morning.
The control stays with you¶
The automatic request is switched on and off from the Home of the dashboard, like every other automation. You can change the destination link whenever you want. From the same Home you can also switch on the follow-up after the appointment, the message that offers a new appointment to clients who haven't booked in a while.
A note for anyone in a regulated healthcare profession: the rules on advertising and professional communication vary from one professional body to another and change over time. If you have doubts about soliciting reviews in your specific field, it is worth checking with your professional body before turning the feature on. Wably gives you the switch, the choice of how to use it stays yours.
