WhatsApp voice notes and photos: what the assistant does

Clients sometimes send you a voice note, a photo, a video or a document. For now the assistant only reads written messages. You, though, see everything in the chat, as always.

What the assistant replies to voice notes and photos on WhatsApp

When a client sends a voice note, a photo, a video or a document, the assistant replies with a short message. It tells them that:

  • for now it can't listen to voice notes or open photos, videos and documents;
  • you will see them in the chat;
  • if they want to book, move an appointment or ask for information, they can write it: the assistant replies straight away.

Like all the assistant's replies, this message isn't sent if the client is disabled in Contacts, or if the assistant is paused because you wrote to them yourself.

What you see

Voice notes, photos, videos and documents arrive in the client's chat, in the WhatsApp Business app, as always. You listen to them and open them just as you do today. Wably doesn't delete them or move them.

What to do

  1. Open the chat and look at what the client sent you.
  2. If needed, reply yourself. The assistant stops replying to that client for 6 hours, so the client doesn't get answers from both of you. See Reply to clients manually.
  3. If the client was asking for an appointment in the voice note, they usually write it again to the assistant. If you'd rather book it yourself, create it in Google Calendar with the client's name and number. See Appointments added by hand to your calendar.

Do I need to change anything to keep receiving voice notes and photos? No. They always reach you in the WhatsApp Business app, even when the assistant is on.
