Move or cancel an appointment

You can move or cancel an appointment whenever you like, directly in Google Calendar, as you usually do. Wably notices on its own. There is one important thing to know, though: the client receives no notice.

What happens if you move an appointment

  • You move the event in Google Calendar, as you always do.
  • Within half an hour, Wably records the new time.
  • The client receives the reminder the day before the new time.
  • If the client asks the assistant when their appointment is, they get the new time.

What happens if you cancel an appointment

  • You delete the event in Google Calendar.
  • Within half an hour, Wably marks the appointment as cancelled.
  • The client no longer receives the reminder for that appointment.
  • The time becomes free straight away: the assistant can offer it to other clients.

The client is not told

When you move or cancel an appointment yourself, Wably sends no message to the client. Write to them yourself, for example from the WhatsApp Business app. If you don't, the client will turn up at the old time.

When you write to the client from the app, the assistant stops replying to them for 6 hours, so the client doesn't get answers from both of you. See Reply to clients manually for details.

When the client moves or cancels

If the client asks the assistant on WhatsApp to move or cancel their appointment:

  • the assistant updates your Google Calendar on its own;
  • the client gets a confirmation in the chat, and by email too if they gave you their address;
  • you get an email if you turned on the Upcoming appointment cancellation alert on the Home page and the appointment was close.

Frequently asked questions

Can I ask the assistant to tell the client for me? No. The assistant replies when a client writes to it. It doesn't send messages on its own when you change your calendar.

Do I get an email when I move an appointment myself? No. The cancellation alert only arrives when the client moves or cancels.

I deleted an event by mistake. What should I do? Create it again in Google Calendar, with the client's name and phone number, as explained in Appointments added by hand to your calendar. Wably recognises it and the client gets the reminder again.
