WhatsApp Business automatic messages: what you can really do (and what you can't)

WhatsApp Business includes some free automatic replies. If you get appointment requests every day, it pays to know exactly how far they go and where they stop.

What WhatsApp Business gives you out of the box

The free app offers three automations:

  • Greeting message: fires when someone messages you for the first time, or after 14 days of silence.
  • Away message: fires outside the hours you set.
  • Quick replies: keyboard shortcuts for phrases you use often, but you send them yourself, by hand.

For many businesses that's a good start. The client gets an immediate signal: "your message arrived, we'll get back to you".

Where they stop

The limit is structural: these messages don't understand the question. They are fixed texts, identical for everyone. If a client asks "how much is a first appointment?" or "do you have anything on Thursday afternoon?", the away message replies exactly what it would reply to anyone else.

So the conversation is still entirely ahead of you. The automation has only bought time, it hasn't solved anything: the request is still there, waiting for you to read it, check the calendar and reply. The difference between replying and managing

An automatic message replies. A secretary manages: understands what's needed, gives the right information, checks the calendar and closes the booking.

That's the jump canned messages can't make, because they don't know your services, your prices or your free slots. A conversational AI assistant does: it reads the request in natural language, replies the way you would and, in the same conversation, offers the slots that are genuinely free and confirms the appointment.
