WhatsApp Business API cost control: how Wably protects you

When you hand your front desk over to an automated assistant, one question comes before all the others: what if somebody takes advantage of it, who pays?

It's a fair question, and the honest answer is that messages sent on WhatsApp Business have a cost that Meta charges straight to your own account. It doesn't go through us, we don't resell it, we make nothing on it. That's exactly why we built Wably so that this expense stays predictable even when something unexpected happens.

How WhatsApp message spending works

Meta bills the messages your business sends. The messages you receive from clients cost nothing. So your spending is proportional to how often your assistant speaks up, not to how much people write to you.

That detail changes everything, because on WhatsApp people don't write the way they write an email. They write like this:

I'd like to book

an appointment

for Thursday

in the morning if possible

That's four messages for a single request. A naive assistant would reply four times, and it would cost you four messages instead of one. The assistant waits before replying

Your assistant doesn't reply to the first message that lands. It waits a few seconds to see whether the sentence is finished, and if more arrives in the meantime it adds that to the request. Then it replies once.

In the example above, that means one billed message instead of four. Across a typical booking conversation, the saving is substantial and it repeats every time.

There's a second effect that clients notice even before the saving: the assistant replies better. Reading the complete request instead of an isolated fragment, it doesn't ask "what would you like to book?" to someone who has just written Thursday morning. Fewer messages and smarter conversations are one and the same thing.

Abnormal conversations stop on their own

It's rare, but it happens. A number that sends dozens of messages in a row, someone who enjoys provoking the bot, a contact who ends up in a loop of requests for some reason.

In those cases your assistant stops replying for a while and hands the conversation over to you. You don't have to do anything: the protection is always on and there's nothing to configure.

The important part is that the conversation isn't lost. Whoever wrote gets a polite message saying you'll reply personally as soon as you can, and you find the chat in your WhatsApp Business app like any other. If there's a real client on the other side who simply had a lot of questions, you answer in two lines yourself. If it's someone wasting your time, you block them from your phone and that's the end of it.

Ping-pong between two automated systems gets cut off

This is the situation that can cost the most, and it's also the least obvious.

If your assistant writes to a number that has an automatic reply of its own, the two systems can start answering each other. Neither of them gets tired, and within a few minutes dozens of messages pile up. It happens more often than you would think: company switchboards, service numbers, other businesses that run an assistant of their own.

Wably recognizes the rhythm of an exchange that isn't human and breaks it off immediately. It's a protection nobody will ever notice, and that's exactly why it exists.

You choose the daily cap

The automatic protections cover the cases we know how to recognize. On top of them all we've added one that doesn't need to recognize anything: a daily safety limit that you decide.

You'll find it on the dashboard Home, under Daily safety limit, with four values to choose from. The default value is meant for a practice with a full diary, so in normal business you'll never reach it. If you go past it, the assistant pauses until midnight.

At the same moment you get an email telling you how many messages were sent, which numbers generated the most traffic and what time the assistant will start again. You don't discover the problem the next day looking at a statement: you know while it's happening, with the information in front of you to decide whether to block a number or raise the limit.

Duplicate messages aren't paid for twice

Networks will be networks. Every so often Meta's infrastructure resends the same message, just to be safe, when it hasn't received confirmation of the first delivery.

A careless system would reply twice to the same client: a duplicate answer, a duplicate charge, and a client wondering why the bot is repeating itself. Your assistant recognizes the duplicate and ignores it.

No markup, no conversation bundles

Many platforms built on WhatsApp add a margin on top of Meta's rates, or sell conversation bundles at an inflated price with a counter that resets every month. At mid range volumes that line item ends up costing more than the subscription itself.

We don't do that, and we have no intention of starting.

Your Wably subscription covers the software. You pay for messages to Meta, at Meta's public rates, on your own account's card. We don't get in the middle, and we have no interest whatsoever in making you send more messages than you need. On the contrary, as you've seen, we work in the opposite direction.

How to manage WhatsApp cost control from the dashboard

Every protection described here is already active from day one and requires no configuration.

The one thing worth doing is taking a look at the daily safety limit on the Home, to pick the value that suits the pace of your practice. If you work alone by appointment, the default value is generous. If you run a centre with several practitioners and many patients a day, as often happens in physiotherapy clinics with several therapists, you can raise it.

For everything else, the assistant works and keeps an eye on the spending for you.

Frequently asked questions

Are WhatsApp costs included in the Wably subscription?

No. The subscription covers the software. WhatsApp messages are billed by Meta straight to your own account, at its public rates. Wably applies no markup and doesn't resell messages.

What happens if someone sends hundreds of messages to my assistant?

After a certain number of messages in quick succession, the assistant stops replying to that number for a while, and the conversation is handed to you. Whoever is writing gets a message inviting them to wait for your reply, and you find the chat in your WhatsApp Business app.

If the assistant pauses, do I lose the client?

No. The pause applies to the automatic replies, not to the conversation. The message still reaches your WhatsApp and you can answer by hand whenever you want. The person who wrote knows you'll reply in person.

Can I decide the maximum I spend in a day?

Yes. On the dashboard Home you choose the daily safety limit. Once that number of messages is passed, the assistant stops until midnight and you immediately receive an email with the detail of what happened.

Does Wably earn anything on the messages I send?

No, and it couldn't: the payment happens between you and Meta, without us entering the transaction. That's why we're free to work on reducing the number of messages sent.

Do I have to configure these protections?

No, they're active from day one on every plan. The only control you can adjust is the daily safety limit.
